  1. What can Kees de Boekhouder do for entrepreneurs?
    At Kees de Boekhouder, we believe in a clear, overall solution for handling the administration and tax returns of entrepreneurs and freelancers. By working with our own bookkeepers and self-developed software, we ensure that your administration and taxes are dealt with quickly and properly. As a client, you get access to your own online account within our software, and you’re linked to a personal bookkeeper. You can contact your bookkeeper throughout the year for support and answers to your questions.

  2. I want Kees de Boekhouder to do my bookkeeping for me. How does this work?
    We are happy to help you with your financial administration! To get acquainted, you can schedule an introductory meeting with us: free of charge and without any obligations. This video call with one of our employees from the Client Success Team will take place online via Google Meet. During this call, we like to hear all about your business and we’ll tell you about our services and our system. We’re also happy to answer any questions. Have we piqued your interest? Then we will pair you up with your personal bookkeeper and give you access to your own account within our system.

  3. I already have a bookkeeper. Can I switch to Kees de Boekhouder?
    Of course, you can! Schedule a free, no-obligation consultation with our Client Success Team. During this meeting, we’ll explain exactly what steps to take for your transfer!

  4. How do you handle my financial data?
    The protection of your data is very important to us. Pursuant to Article 32 AVG, we are obliged to take appropriate measures to ensure this. This also prevents loss and incorrect processing of your personal data. In addition, only authorized employees have access to your data. Want to know more? Please, check our privacy statement.

  5. I have a private limited company (BV). Can I contact Kees de Boekhouder?
    Yes, of course. We can also help you if you have a BV or foundation. You’ll be referred to our colleagues at Founders, an expertise label within the Kees de Boekhouder organisation.   6. I’m already a client of Kees de Boekhouder, but I want to switch my company to a private limited company (BV). How does this work?
    We will refer you to one of our colleagues at our expertise label here. Founders specializes in BVs and foundations. They will then make sure you get the right information about this.

  7. What happens to my data when I unsubscribe?
    If you want to unsubscribe, we’ll first discuss which tasks there are left for us to complete for you. After unsubscribing, we offer the possibility to temporarily maintain your account, so you can still access your administration. Would you rather delete your account? In that case, it’s possible to request a printout of your account. Until then, we will keep your data in your account.

My bookkeeper

  1. Why do you work with bookkeepers and not accountants?
    For sole proprietorships and general partnerships, there’s no legal requirement to hire an accountant to deal with your financial records. Only in case your company is a private limited company (BV) or a public limited company (NV) of a certain size, you may need an accountant.

  2. Do I have a personal, dedicated bookkeeper?
    Yes, at Kees de Boekhouder you have a personal bookkeeper. This contact person is fully informed about your business and available for all your financial questions. Sometimes, a switch in personal bookkeepers may occur.

  3. What does my bookkeeper do for me?
    Your bookkeeper is your personal contact at Kees de Boekhouder. He or she is also the one who answers your questions, checks your accounts, submits your VAT return, draws up your annual accounts and completes your income tax return. You can contact your bookkeeper for all your questions regarding administration, declarations and annual accounts.

  4. How can I contact my bookkeeper?
    In general, you contact your bookkeeper through email or phone, but if necessary, you can also schedule a video call or visit to one of our offices. If your own bookkeeper is not available, a direct colleague will of course be happy to help you.

Our bookkeeping software

  1. What can I use the bookkeeping tool for?
    With our tool, you can keep track of your business income and expenses, and get an insight into your records. You can also easily send invoices, prepare quotes and track your expenses using the app. Your bookkeeper will keep an eye on your accounts, check them every quarter, and prepare the annual accounts and tax returns based on your input.

  2. What can I use the Mobile App for?
    The app helps you to easily track your expenses. You just take a picture of the receipts and fill in the relevant information such as the amount, VAT percentage and cost type.

  3. Does the tool also link to my bank account?
    At the moment, this feature is still under development. We do already have a beta version that customers can sign up for. Interested in signing up? Please, contact your bookkeeper.

  4. I have multiple trading names. Can the Kees de Boekhouder bookkeeping system handle this correctly?
    Yes, it’s possible to process the administration of multiple trading names under your business or general or commercial partnership.

  5. Can I also use my own accounting system?
    No, it is not possible to submit your administration using an external accounting system. We work with our own accounting system to keep track of your income and expenses. Your dedicated bookkeeper follows up on your administration online and is able to make corrections, prepare annual accounts and send tax returns.

  6. Can I use the bookkeeping system without a bookkeeper?
    No, that’s not possible. We offer a complete package that consists of the use of our own bookkeeping system in combination with a dedicated bookkeeper.

Fees and payment

  1. How are your fees drawn up?
    At Kees de Boekhouder you pay a fixed fee per financial year. For a sole proprietorship this fee is €780 excl. VAT, and for a general partnership it’s €1,050 excl. VAT per financial year, based on two partners. In case there are more partners, the rate increases by €100 excl. VAT per partner. These fees are invoiced in advance on a monthly basis. The exact monthly fee depends on the month in which you start using our services during the financial year. After an introductory meeting, we will draw up a suitable quote for you.

  2. How much do I pay if I become a client during the course of the financial year?
    Depending on the type of business you run, you pay a fixed amount per financial year. If you become a client later in the financial year, we will draw up a reduced quote for you after the introductory meeting.

  3. Are there any hidden costs?
    No, you will not encounter any hidden costs: You pay a fixed fee per financial year. We do offer extra services in addition to the fixed package, such as making a forecast of the income tax return, or filing the income tax return of a tax partner. Should you have any questions about this, please indicate this during your introductory meeting, or ask your bookkeeper to make an additional quote for you.

  4. When do you invoice?
    We invoice in advance on a monthly basis. You’ll receive your invoice on the 1st of every month and it can be paid by direct debit. Would you rather pay in one go? Not a problem, please indicate this during the introductory meeting, or discuss it with your personal accountant so that we can prepare the correct invoice for you.

  6. What services are included in the fee?
    We offer a comprehensive fixed package. When you become a client with Kees de Boekhouder, you’ll be assigned a personal bookkeeper, and you get access to our online accounting system. This system allows you to keep track of your income and expenses, and to send quotes and invoices.

    Your personal bookkeeper:
    – Checks your administration and corrects it if necessary;
    – Submits the VAT every quarter / month / year;
    – Completes the financial year by preparing the annual accounts and filing the income tax return;
    – Informs you about deadlines, regulations, and opportunities regarding taxes;
    – Is always available if you have any questions.

  7. What are the fees for private limited companies (BV)?
    Our expertise label Founders handles the administration and declarations for, among others, private limited companies (BV). We charge fees from €1,500 excl. VAT per financial year for holding companies; for operating companies fees start at €2,250 excl. VAT per financial year. We also support foundations, charging fees from €840 excl. VAT per financial year.

  8. Can I cancel at any time?
    No, unfortunately it is not possible to cancel on a monthly basis. The service we provide covers a full fiscal year, including quarterly declarations and income tax returns.

Tax returns and taxes

  1. Why do I need to file VAT returns?
    As an entrepreneur, it’s very important to properly keep your records. After all, you’re responsible for filing your annual income tax as well as submitting VAT returns, or sales tax. Unless you’re exempt from VAT, as an entrepreneur, you are legally obliged to charge VAT and pay this to the tax authorities. Want to know more about this? Please, read our blog on how this works.

  2. Will you file the VAT return for my business?
    We file the quarterly VAT return for your business. You submit your income and expenditure to our accounting system. Your bookkeeper then checks the records and submits the VAT return on your behalf.

  3. I submit my VAT return monthly/annually. Can you do this as well?
    Not a problem. You make sure the income and expenditure submissions in our accounting system are complete. Your bookkeeper will then check the records and submit the VAT return on your behalf.

  4. I also work as an employee. Do you process this income as well?
    At the end of the year, we ask you to fill in a questionnaire to provide us with all relevant information for your income tax return. Here, you can also add the annual statement of your job, so that we can include this income in the income tax return.

  5. I still need to file tax returns from previous years. Can you help me with this?
    Certainly! If you’re behind in submitting your tax returns, we will make sure you are up-to-date as soon as possible. Please, schedule an informal introductory meeting so we can tell you more about how we will do this, the costs involved, and how we can get you up to speed again!

  6. Do you also take care of payroll administration?
    Yes, we also handle the payroll administration for your employees. We charge €17.50 (ex. VAT) per payslip per person per month for this service.

  7. Can Kees de Boekhouder also file my partner’s income tax return?
    For a tax partner’s income tax return, we charge a fee of €120 (incl. VAT). At the end of the calendar year, we ask you to complete a questionnaire to provide us with all relevant information for the income tax return. Your bookkeeper will process the data for both you and your tax partner in the income tax return.

  8. Kees the Bookkeeper works with the VIA. What is the VIA?
    The pre-completed income tax return (VIA) contains the data the tax authorities have received from your employer, municipality and bank. For instance, your salary or benefits, value of immovable property (WOZ) and mortgage debt of your own home, and bank balances. Think of the VIA as a kind of safety net: if you forget to add something to your tax return, your bookkeeper will notice this immediately and check with you whether this is indeed correct. With the help of the VIA, we can be sure that your tax return is complete and correct. However, we’re only allowed to access this information if you have authorized us to do so.
